How to View Sales Return Details

Sales returns is a process which occurs when a customer returns a defective, damaged, or otherwise undesirable product back to the seller. 

Here’s how you can manage your sales returns in SeeBiz Inventory.

Click on “Returns” in the Item Navigation Sidebar. There, you’ll be able to view all the Sales Returns alongside their different properties such as:

  • Return Date
  • Sales Return Number
  • Sales Order Number
  • Customer Name
  • Stock Return Status
  • Sales Return Status
  • Return Quantity

Pro Tip: You can sort sales returns by clicking on each of the above properties. It will either sort the sales returns in ascending or descending order indicated by the “↑” and “↓” arrows.

Here, you’ll be able to perform the following actions:

  1. Viewing a Sales Return
  2. Exporting Sales Returns
  3. Sales Returns Menu
  4. Filtering Sales Returns
  5. Sorting Sales Returns
  6. Returns Received of a Sales Return
  7. Sales Returns Navigation

View a Sales Return

Click on the sales return to view all of its details. 

Basic Information

This section shows the following:

  • Name of the customer
  • Sales return number
  • Sales return status

Main Details

This section of the sales return shows the following:

  • Sales order number of the returned order
  • Return date of the order
  • Total quantity of the returned items
  • If items were returned back to stock
  • Reason for the return request

Returned Items Details

This section of the sales return shows the following:

  • The items that were returned
  • Quantity of items ordered by the customer
  • Quantity of items shipped to the customer 
  • Quantity of items successfully returned by the customer

Sales Return Options

To change a sales return’s status, click on the down arrow at the top of the page. Choose one of the following two options:

  • Mark As Sent: This will mark the sales return as “sent”. 
  • Mark As Void: This will null and void the sales return.
  • Convert to Draft: This will mark a null and void sales return as drafted.

Edit: By clicking on the “Edit” icon, you can add/change different details about the sales return.

View in PDF: This will help you display the sales return’s information in a PDF form. You’ll also be able to download it as a PDF file.

Print: Get the sales return in a printed form. 

Email: Directly email the sales return to a customer.

Delete: By clicking on the “Delete” icon, you can remove the sales return from the list.

Insight: You cannot change the details and status of the sales return or delete it if it is closed.

History

By clicking on the “History” tab, you can view a timeline of all the changes made to the sales return.

Returns Received

By clicking on the “Return Receive” tab, you can view all the returns received so far.

If there aren’t any return receives recorded, you can create one by either clicking on “+Add Return Receive” or the “Add Return Receive” button at the top-right corner of the page.

By clicking on either option, you’ll be able to see a pop-up window.    

  • The Return Receive Number and Sales Return Date are unchangeable.
  • Enter the date when the return was/will be received. 
  • Add the quantity of the item to be received. 

Click on the “Save” button to finish. 

Export Sales Returns

Make a backup of your sales return through the “Export Sales Return” option. This is a great way to save them in a personal device.

To export your sales returns, click on the Hamburger button and select the “Export Sales Return” option.

This pop-up window will appear. From here, you can select the “Export Filter”. 

  • Select “All” to export each and every one of your sales returns. 
  • Or, select “Custom” to export sales returns within a specific time period.

Click on the “Export” button to download your sales return as a CSV file. 

Sales Return Menu

Here, you can modify details about a sales return and even perform different actions on it.

Click on the ellipsis icon against a specific sales return to open a drop-down menu. You can perform the following list of actions here.

Edit: By clicking on the “Edit” option, you can add/change different details about a sales return.

Delete: By clicking on the “Delete” option, you can remove a sales return from the list.

Mark As Confirmed: This will mark the sales return as “Confirmed”.

Mark As Void: This will null and void the sales return. 

Insight: You cannot change the details and status of the sales return or delete it if it is closed

View in PDF: This will help you display the sales return’s information in a PDF form. You’ll also be able to download it as a PDF file

Bulk Operations

To apply actions on multiple sales returns, use bulk operations. Here’s how

  • Select your desired sales returns.
  • Next, click on “Options” at the top of the page and select one of the following choices: 
  • Mark as Confirmed: Mark all selected sales returns as “Confirmed”.
  • Export Selected: Export the selected sales returns.
  • Delete Icon: Delete the selected sales returns. However, returns that are either closed or receiving won’t be deleted.

Filter Sales Returns

Filters allow you to only view sales returns belonging to a specific category. Here’s how to use them.

Click on the box besides the “Sales Returns” heading. You can filter your sales returns based on following categories:

  • Show all the sales returns
  • Only show sales returns in draft
  • Only show sales returns that have been confirmed
  • Only show sales returns that have been closed
  • Only show sales returns that have been marked as void

Sort Sales Returns

You can sort all of your sales returns according to the following parameters:

  • Return Date: Sort according to the date when the sales return was requested.
  • Sales Return No.: Sort according to the sales return number
  • Sales Order No.: Sort according to the sales order number
  • Customer Name: Sort alphabetically based on customer’s name
  • Add to Stock: Sort according to whether or not the system added returned items back to stock 
  • Status: Sort according to the sales return status
  • Return Quantity: Sort according to number of items returned 
  • Created Time: Sort according to the time when the sales returns were created
  • Last Modified Time: Sort according to the time when the sales returns were last modified

Sales Return Navigation

To easily view a large number of sales returns, SeeBiz Inventory lets you limit the amount displayed on a page. 

Click on the box besides “+New” to select how many sales returns per page you want to view. Also, you can click on the “>” or “<” icons to see the sales returns on the next or previous pages.
